EMS Scheduling Modernization Project

 

The Event Management Software (EMS) is the university's tool for scheduling rooms and event services on both the CU Anschutz and CU Denver campuses. The EMS Modernization Project will transform and elevate our space and event scheduling services for an improved user experience. 

 

Project Goals

 

The EMS Modernization Project is focused on achieving three primary goals.

The project team is currently working to modernize the EMS infrastructure while also engaging users for feedback to improve processes and workflow.

  • Migrating the EMS System to the Cloud:
    • Benefit: A cloud-based system will enable our team to provide faster and more efficient user support.
    • Date and Time: Completed on April 1, 2025 from 11 pm to April 2, 2025 1 pm
    • Impact: The EMS Room and Services Scheduling Web App will be temporarily unavailable during this period.
  • Implementing Single Sign On and Multifactor Authentication with Duo for EMS Web App Access:
    • Benefit: Single Sign On and Multifactor Authentication with Duo provide enhanced security and a consistent login experience with the other university systems.
    • Date and Time:  Completed on April 2, 2025 1 pm
    • Impact: The login page will have a new look

Click the login button and enter your university network credentials (e.g., SmithJ). Duo will be required for multi-factor authentication (MFA) after entering your network ID and password.

Upcoming:

As a part of the EMS Modernization Project, Information Strategy and Services (ISS) is implementing additional enhancements in 2025, including:

  • A streamlined reservation process
  • A mobile app for quick and basic reservations
  • Automatic account provisioning

User Survey

As part of our EMS Scheduling Modernization Project, we conducted a user survey to better understand and improve the room reservation experience.

  • Survey Period: May 16 – June 6
  • Participants: Frequent EMS Web App users from CU Anschutz and CU Denver
  • Survey Focus: User ratings and user challenges of all 3 steps of the room reservation process, i.e. room selection, service requests, additional reservation details
  • Key Findings:
    • Overall Rating: 3.5 out of 5 stars
    • What users like: Room information was readily available
    • What users want to improve: More clear prompts and questions throughout the reservation process
