Elevating the room scheduling system and services

Project Goals

The Event Management Software (EMS) is the university's tool for scheduling rooms and event services on both the CU Anschutz and CU Denver campuses. The EMS Modernization Project will transform and elevate our space and event scheduling services for an improved user experience. 

The EMS Modernization Project is focused on achieving three primary goals:

Migrating the EMS System to the Cloud

Benefit: A cloud-based system will enable our team to provide faster and more efficient user support.

Status: Completed

Implementing Single Sign-On and MFA

Benefit: Single Sign-On (SSO) and Multifactor Authentication (MFA) with Duo provide enhanced security and a consistent login experience with the other university systems.

Click the login button and enter your university network credentials (e.g., SmithJ). The Duo app will be required for Multi-Factor Authentication (MFA) after entering your network ID and password

Faster, Automatic Account Setup

EMS accounts will be automatically created for CU Denver | Anschutz faculty, staff and enrolled students.

Benefits: users can easily and quickly make room reservations without the delay of requesting EMS access.

Automatic Access to Campus Templates

Users will automatically see and have access to templates for their primary campus. 

Benefits: Streamlined reservations by seeing only rooms on your campus and fewer, more organized reservation questions.

Status: Completed

Department Information Updates

EMS will automatically update to reflect department changes.

Benefits: Department and contact changes automatically sync requiring less manual cleanup needed from users.

Updated Reservation Questions

Reservation questions will appear in a new format:  

  • Use Add/Remove and check any applicable situations from the list. 

Benefits: Fields that are not applicable to your reservation no longer require an answer and you can choose to add or remove them from your reservation as needed.

Mobile EMS Application

Developing a mobile app for quick and basic reservations. 

Benefits: Ability to reserve a room on the go without needing to be tied to a computer.

Status: Upcoming

User Survey

As part of our EMS Scheduling Modernization Project, we conducted a user survey to better understand and improve the room reservation experience.

  • Survey Period: May 16 – June 6, 2025
  • Participants: Frequent EMS Web App users from CU Anschutz and CU Denver
  • Survey Focus: User ratings and user challenges of all 3 steps of the room reservation process, i.e. room selection, service requests, additional reservation details

Key Findings:

  • Overall Rating: 3.5 out of 5 stars
  • What users like: Room information was readily available
  • What users want to improve: More clear prompts and questions throughout the reservation process
