Why is CU replacing MyLeave? 

Currently, MyLeave is used by only about 70% of the campus and presents several challenges. It does not integrate well with other systems, making it impractical for many departments. The platform is also highly customized, which significantly limits its ability to be updated and modernized. As a result, it lacks the functionality and flexibility needed to meet current and future needs. To address these concerns, the university is transitioning to PeopleSoft Time & Labor, a unified, modern solution designed to support all employees across campuses with improved integration, usability and scalability.

Will I still be able to use MyLeave after the new system launches?

No. Once PeopleSoft Time & Labor goes live (tentatively September 2026), it will fully replace MyLeave and designated third-party systems.

 

Who is CU’s implementation partner for this project?

CU has partnered with SpearMC (now part of Mythics LLC), a firm with over 20 years of experience in Time & Labor and HR implementations, especially in higher education.

Who’s involved in building and guiding the new system?

The Time & Labor Project is a collaborative effort involving representatives from all four CU campuses and the CU System Office. At the CU Anschutz campus alone, over 100 subject-matter experts (SMEs) from every school and department have actively contributed and will continue to support future phases. Campus leadership is also working together through a shared governance group to ensure the system meets the diverse needs of CU employees.

Who is impacted by the new system?

 

Faculty, staff, student workers, graduate students and postdocs will all use the new system. It will support employee types not currently tracked in MyLeave.

Will graduate students and postdocs have their leave tracked in the new system?

Yes. Leave accrual and balances for graduate students and postdocs will transition to Human Capital Management (HCM) and integrate with PeopleSoft Time & Labor.

Can student employees track their leave balances?

Yes. Student employees, including research and graduate assistants, will be able to record and manage leave in the new system.

Will residents use the Time & Labor System?

No. Residents will continue using MedHub. Integration with T&L is being explored, but their reporting process will remain unchanged.

Will clinical faculty who use QGenda switch to Time & Labor?

No. Clinical faculty will continue using QGenda. Integration options are being explored to reduce manual data entry.

What phase is the project currently in?

The Build Phase began in September 2025 and will continue through January 2026. The system is being configured to meet CU’s needs.

What other phases will happen after the Build Phase?

After the Build Phase ends in January 2026, the project will move into testing and training before the system goes live in September 2026. Post-launch support will follow to help users transition smoothly.

When is the go-live date?

The tentative go-live date is September 2026. Updates will be shared if the timeline changes.

Who will participate in testing?

Testing will include broad representation across departments and employee types, using scenario-based approaches.

When will training resources be made available for my department?

Training guides, online resources and virtual support hours will be made available well in advance of any timekeeping system rollout. Updates and schedules will be posted on this webpage and communicated to departments as soon as they are confirmed.

Will current physical time clocks be replaced?

Yes. Existing clocks will be updated to integrate with PeopleSoft Time & Labor, reducing manual reconciliation and improving accuracy.

Which timeclock vendor was selected?

CU has selected TimeClock Plus (TCP) as its centralized timekeeping vendor. TCP delivers a reliable solution that integrates physical timeclock systems with advanced software capabilities, supporting departments that continue to use traditional punch methods as well as those with specialized needs such as complex scheduling.

Which schools/departments are considering TimeClock Plus (TCP)?

The following schools/departments are potential candidates for transitioning to TimeClock Plus:

• Office of Laboratory Animal Resources (OLAR) – currently using iSolved TimeForce)
• Community of Practice – considering TimeClock Plus Humanity (currently using Kronos)
• Pathology – currently using Kronos
• Facilities – currently using Kronos
• School of Dental Medicine – currently using Timeclock Plus
• Center for Advancing Professional Excellence (CAPE) – considering TimeClock Plus Humanity (currently using Shiftboard)

Will all employees in these schools/departments move to TCP?

No. Only employees currently using the identified third-party systems are expected to transition. In most cases, this applies to a subset of employees within each school or department.

What are the costs?

As part of the implementation, the following costs will be covered centrally:

• Initial hardware purchases
• Annual software licensing fees for Years 1 and 2
• Annual maintenance fees for Years 1 and 2

Beginning in Year 3, departments will assume responsibility for:

• Annual software licensing fees
• Annual maintenance fees for physical time clocks
• Purchasing any additional clocks beyond the initial rollout.

When will the transition to TCP occur?

The transition will align with the September 2026 go-live. Any changes will be communicated directly to affected departments.

Will training on TCP be available?

Yes. TCP will offer live training sessions and supporting materials.

Which schools/departments are moving from third-party systems to Time & Labor?

The following schools/departments are candidates for transitioning from their third-party system to Time & Labor:

• Colorado Health Outcomes Center – currently using Formstack
• Hemophilia and Thrombosis Center – currently using Pacific Timesheets
• Physical Medicine & Rehabilitation – currently using Formstack
• CU Anschutz Police – currently using POSS
• Neurology – currently using Filemaker Pro

Will all employees in these schools/departments transition to Time & Labor?

No. Only those currently using the identified third-party systems will transition. This typically applies to a subset of each department.

How were these decisions made?

The project team met with each department to assess needs and propose configurations, which were reviewed and approved before moving forward.

When will the transition to Time & Labor occur?

The transition to Time & Labor is planned for the September 2026 (tentative date) go-live. Any changes will be communicated directly to affected departments.

Will training be available?

Yes. Training and support materials will be provided to ensure a smooth transition.

How will on-call, call back, and shift differentials be handled?

 

These rules will be configured based on CU policy to ensure consistent and accurate application.

 

Will shift eligibility be automated?

 

Yes. Employees will not need to manually select shift codes—eligibility will be determined automatically based on predefined criteria.

 

How will compensatory time be tracked and managed in the new system?

 

Enrollment in the compensatory time plan will be managed at the department level by school or college HR administrator, allowing departments to adopt comp time or other bank time plans as needed. When overtime is calculated, employees enrolled in the comp time plan will accrue compensatory time at a rate of 1.5 hours for every hour of overtime worked, instead of receiving overtime pay.

 

Will employees see only relevant time codes?

 

Yes. Employees will only see codes relevant to their job roles, reducing errors and improving data accuracy.

 

How will the T&L delegation (proxy) feature work?

While employees are encouraged to enter their own time, PeopleSoft Time & Labor includes a delegation feature that allows designated proxies to enter time on their behalf. This can be enabled when unit leadership determines it is appropriate. Timekeeping responsibilities are assigned to the proxy for the duration of the delegation, and all entries—whether by the employee or proxy—must be recorded in T&L.

Can proxy permissions be configured?

 

Yes. Units can control which functions proxies can access, such as time entry.

 

Can lunch breaks be automatically set up?

 

Yes. Lunch breaks can be auto-deducted or manually entered, depending on configuration.

 

What if someone works partial hours on a holiday?

 

The system can track banked holiday time based on hours worked, eliminating manual tracking.

 

Will Personal Observance Days be tracked?

 

Yes. Personal Observance Days will be visible and trackable in the system.

 

How will FMLA/FAMLI leave be managed?

FMLA and FAMLI tracking will continue through AbsenceSoft, which will integrate with HCM in the same manner that it does today.  PeopleSoft Time & Labor will be used to report supplementary sick leave and vacation.
