Fiscal Year End – Submit Technology Renewal Application

As the university approaches the end of the fiscal year, it is time to revisit the Technology Risk Assessment processfor any software applications or hardware devices you need to acquire or purchase for your business operations; both paid and free software applications require a technology risk assessment.
To purchase or renew these applications or hardware devices, there are important procurement dates you need to be aware of. These dates are so that you can plan accordingly to allow for processing time from the technology risk assessment process as well as procurement services and avoid loss of service.
Thursday, May 1, 2026
- Deadline for all purchase requisitions greater than $10,000 with supplier terms/contracts.
Thursday, May 15, 2026
- Last day to submit change orders that require increases or date changes that result in a contract amendment or SOW. Those change orders received after this date that do not require a contract amendment, such as extensions to pay a final invoice, may be processed through Fiscal Year End deadlines.
- Last day to submit all Small Dollar Contracts (contracts that are under $10k which require signature).
Please keep in mind:
- The list of approved technology (including enterprise solutions) can be found on the Technology Reviewed for IT Compliance (SSO required) page. This is a list of technology that you are welcome to utilize for your needs with the university as it has already undergone a technology risk assessment review and does not require additional assessment for use.
- The technology risk assessment process is separate from the procurement process, so please plan accordingly to ensure there is enough time for both. The technology risk assessment process takes 10-15 business days for a standard request.
- Missing the dates above may result in approvals after July 1st.
- If your purchase qualifies as goods or services that involve (but are not limited to) digital interface, software, licenses, or systems that can store, manage, control, manipulate or retrieve information/data for human interaction, including videos, platform, web content/web development, and communications products it requires an a technology risk assessment prior to procurement submission.
- Security and compliance reviews are required for both new purchases AND renewals. Please submit a Technology Risk Assessment.
