AI options are constantly evolving with new options coming on the scene. While it may be exciting to try them all, it is important to keep IT security and compliance at the forefront of your mind before entering any data into an OpenAI or AI application. Currently, the only AI applications approved for university data are Microsoft Copilot for the Web, Microsoft Copilot 365, Zoom AI Companion, Adobe Firefly, Vertex AI and Azure OpenAI. These applications have undergone the Technology Risk Assessment process and have been identified as secure to use with university data and information. DeepSeek, ChatGPT and others are NOT approved to use with university data. Many AI applications will use the data entered into them to help the AI learn. This means the data is forever stored in the AI and cannot be removed or deleted which violates many confidentiality policies at the university.
